Council is seeking an enthusiastic person to who enjoys a high level of public contact to join the Alice Springs Solar City team. This person will be responsible for responding to general enquiries, data entry and financial administration duties.

Salary: Level 3/4 (Municipal Officer) $48,173-$57,070 pa and other allowances in accordance with Council’s Workplace Partnership Agreement

POSITION DESCRIPTION – ADMINISTRATION OFFICER-ALICE SOLAR CITY

PRIMARY OBJECTIVES

Provide administrative support to the Alice Solar City (ASC) project.

KEY RESPONSIBILITIES

• Provide a wide range of administrative functions to ASC including file maintenance and recording, routine correspondence, preparation of various forms and documents, ensuring resource needs are available, eg stationery items and record keeping
• Provide customer service to ASC clients
• Book all ASC travel and accommodation.
• Maintain all ASC vehicle maintenance requirements
• Undertake the requisition, ordering and processing of purchases
• Ensure the processing and payment of all invoices and accounts
• Oversee the issuing and processing of Alice Solar City incentive vouchers, including payment of suppliers
• Undertake a range of activities to ensure cost effective purchasing function for ASC within established guidelines .
• Reconcile statements providing prompt end of month payment to assist GM’s monitoring and reporting of budget
• Process all accounts receivable
• Maintain, reconcile and administer all petty cash facilities
• Providing other adminstrative support to the ASC General Manager and other team members as required

Qualifications in business administration: Desirable

Selection Criteria

Essential

1. High level of financial skills with the ability to provide a range of financial administrative activities relating to purchasing, costings, invoicing, reporting budgeting and asset management.

2. High level interpersonal and customer service skills with an ability to effectively liaise with management, staff and customers on creditor/purchasing issues and maintain a high degree of confidentiality, discretion and diplomacy.

3. Good organisational skills with the ability to work independently and as part of a team.

4. High level literacy and computer skills, including skills in spreadsheets and database management.

Desirable

1. Current drivers licence to be able to drive a motor vehicle in the NT.
